The Bottle Works Ethnic Arts Center or Arts on 3rd Avenue seeks a passionate and dynamic Executive Assistant to add to our team.
The position will be responsible for continuing the mission of Bottle Works, which is to inspire artistic passion, community connectivity, ethnic appreciation, and sustainable practice across generations.
The Executive Assistant will work directly with the Executive Director to fulfill the requirements of the position.
Education Level:
College Degree:
Preferably in Non-Profit or Business Management minimum of 3 years of experience in development (preferred) grant writing experience (preferred)
Responsibilities:
Operations:
Oversee day-to-day operations including payroll, employee scheduling, bill payments, consultant payments, financial reports, capital projects oversight, grant tracking, facility rentals, staff meetings, and other operational tasks.
Financial:
Report on financial reports and organizational stability to the Executive Director and the Board of Directors.
Oversee financial operations including the Bottle Works bookkeeper position and manage Quick Books, including data entry, taxes, and financial reporting.
Development:
Design and implement a strategic financial plan for donor management, membership drive, corporate sponsorships, EITC donations, and overall financial health of the organization while working with the Executive Director and Board of Directors.
Grow and sustain our donor base and local small business support, as well as legislative support for the organization.
Build new partnership relationships and manage existing relationships.
Plan, manage, and execute the annual fundraising event, No Tie Gala.
Ensure profitability of events to support the sustainability of the organization.
Participate in other event planning and execution.
Grant Writing:
Understand and communicate the goals of the organization to apply for local, regional, state, and federal grant opportunities whether they are programmatic, capital, or operational.
Develop and manage a calendar of grant applications.
Write, track, and report, grant applications.
Administrative Tasks:
Manage enrollment, registration, and scheduling of classes, workshops, and events using appropriate software tools (Google Suite and Microsoft Suite).
Communicate with our membership list, Board of Directors, and the community about programmatic events at the organization.
Check customers out for art sales in the gallery shoppe and exhibits.
Invoice customers, donors, rental customers, and partnering programmatic organizations through point of sale.
Manage facility key distribution & alarm code management.
Write press releases and other marketing materials.
Manage human resources materials including payroll, child abuse clearances, and disciplinary documentation for staff, consultants, and volunteers.
Other duties as assigned by the Executive Director or board of directors.
